To achieve the maximum amount of hits or matches per search we suggest you perform a SIMPLE SEARCH.

 

SIMPLE SEARCH

 

To perform a SIMPLE SEARCH enter the NAME ONLY (Doe John M) in the Grantor or Grantee field, leave all other fields blank. Change the drop down box from "begin" to "contains" and then select "Do the Search". This method will provide you with the most hits or matches for the criteria you entered. If this search did not produce the hits or matches you were looking for, try searching by just the LAST NAME.

BOOK AND PAGE SEARCH

To perform a BOOK AND PAGE SEARCH enter the VOLUME in the "Volume" Field and the PAGE NUMBER in the "Page" field. Change both of the drop down boxes from "begin" to "contains" and then select "Do the Search".

 

ADVANCED SEARCH

 

In order to perform an ADVANCED SEARCH the information you are entering must be EXACT. You can perform an advanced search by filling in as many of the fields as you like and set the drop down boxes to "exact", but if your information is incorrect, your hits or matches will be few to none. This search requires that you enter the information in the exact order in which it was indexed. 1. The program is case sensitive in searching, i.e. searches must be done using upper case letters "DOE JOHN".

 

2. The keyword material is indexed with no punctuation by last name, first name, middle name or initial, suffix and prefix. There are no commas, no periods, and no apostrophes. The plant indexing consists of several abbreviations which are addressed by attached exhibits. "Entity Abbreviations" are abbreviations used for company or government entity names.

 

EXCEPTIONS:

A. Trusts: Search by keying in the actual name of the trust and also search by last name first.

Example: To search for "John M Doe Revocable Living Trust", key in "JOHN M DOE REVOCABLE LIVING TRUST" and "DOE JOHN M REVOCABLE LIVING TRUST".

B. Estates: Search last name first.

Example: To search for "John Doe Estate", key in "DOE JOHN EST".

C. Probates: To search for John Doe's Probate, key in last name first.

Example: DOE JOHN or DOE JOHN DECD

D. Government Entities: Search Full Name and by abbreviation.

Example: Search for "Internal Revenue Service" and search for "IRS". Search for "Rusk County" by keying in "Rusk County" Search for "Texas" by keying in "Texas State of" and "State of Texas".

 

3. Try to make the search as broad as possible. A search with too many details may be too time consuming. If there are too many hits with a broad search, retry with a more detailed search.

 

Example:

Broad search:"Doe J"

Detailed search: "Doe John"

Broad search: "First National Bank"

Detailed search: First National Bank Rusk"

 

4. Subdivisions and Surveys are indexed as reflected on attached lists.

 

5. Lot and Block numbers are not indexed with a certain number of spaces.

 

Examples: Lot 1 = 1 and not 0001; Block 56 = 56 and not 0056;

If searching for part of Lot 4, search Lot 4 and the program will indicate if it is a partial lot. If searching for Block P2 , search "P2" "P 2" and P-2" .

 

6. Acreage index: Always use decimals regardless of how the document states the acreage.

 

Example: 36 ½ acres = 36.5 acres.
